1. Who we are and what this policy covers

Hangzhou Xunding Machinery Co., Ltd. (Xunding, we, us) is responsible for the personal information we receive for equipment inquiries and business communications. This policy covers our website, inquiries by email, telephone or WhatsApp, and Facebook and Instagram Instant Forms submitted to Xunding.

2. Information we collect

Depending on the form and the details you choose to provide, we collect your name, email address, phone or WhatsApp number, company, country, machine of interest, packaging specifications, drawings or photographs, production requirements and messages. We also retain relevant correspondence, the inquiry source or advertising campaign details, and records of your consent where available.

Website hosting and security services may process technical information such as IP address, browser information, request time and pages requested to deliver the site and prevent misuse. Please do not submit passwords, payment-card details, identity documents, sensitive personal information or confidential information about other people.

3. Facebook and Instagram lead forms

When you submit a Xunding Instant Form on Facebook or Instagram, Meta provides us with the information you submit, including any prefilled contact details and answers to the questions shown on that form. Please review prefilled information before submitting. Submission is voluntary; you may contact us directly instead.

We use these details for the equipment inquiry and follow-up described on the form. Meta handles information on its platforms under its own Privacy Policy. This policy explains how Xunding handles the lead information it receives.

4. How we use information

We use your information to respond to equipment inquiries, assess packaging requirements, prepare quotations and provide related technical or business follow-up by email, telephone or WhatsApp using the contact details you supply. If you place an order, we also use relevant information for the transaction, delivery, after-sales service and applicable record-keeping obligations.

We do not automatically add inquiry contacts to bulk marketing lists. Any separate promotional use requires the appropriate notice and consent where required. We do not sell or rent your personal information or customer lists.

Where a legal basis is required, we rely on steps you request before a purchase or performance of a contract, our legitimate interests in responding to business inquiries and protecting our services, consent where required, and applicable legal obligations.

5. Who receives information

Information is available to Xunding personnel who need it to handle your inquiry or business relationship. Hosting, email, communications and inquiry-management providers may process the information needed to provide those services on our behalf. For an order, we may share necessary details with delivery or service partners. We may also disclose information when required by law or to protect legal rights.

We do not provide lead information to unrelated businesses for their own marketing. Facebook or Instagram submission involves Meta, and using WhatsApp or email also involves the provider of that communication service.

6. How long we keep information

For inquiries that do not result in a transaction, we retain personal information for no more than 24 months from submission, then delete it or remove information that identifies you. If you become a customer, we retain transaction records for the period needed to fulfil the business relationship and applicable accounting, tax, warranty or other legal requirements. We retain only the information needed for those purposes.

You may request earlier deletion using the contact details below. Where a record must be kept to meet a legal obligation or resolve a dispute, we will explain the reason and limit its use accordingly.

7. International processing

Xunding is based in China. Website inquiry submissions, when enabled, are hosted on our server in Singapore. Inquiry information and correspondence may also be processed in China and in countries where Meta or the service providers used for your communication operate. International processing is subject to the safeguards required by applicable law.

8. Security

We use reasonable safeguards to protect personal information, including HTTPS for this website and limiting access to personnel who need the information. No internet transmission or storage method is completely secure. Please send only information needed for your inquiry.

9. Your choices and rights

You may ask us to access, correct or delete your personal information, stop inquiry follow-up, or withdraw consent for processing based on consent. Depending on applicable law, you may also request restriction or portability, object to processing, or complain to the relevant privacy authority. Withdrawing consent does not affect processing already carried out lawfully.

Email jsonchen@xundingmach.net with the subject “Privacy request” and enough information to locate your inquiry, such as the email address used on your form. We may need to verify your identity and will respond within the period required by applicable law. Please do not email identity documents unless we explain why they are necessary. Deleting our copy does not delete information held independently by Meta; use Meta’s privacy controls for those requests.

10. Cookies and browser storage

This website does not currently load Meta Pixel, advertising cookies or third-party live chat. When the website inquiry form is enabled, Cloudflare Turnstile is used for spam protection and may process browser, device and network information under Cloudflare’s Privacy Policy. Browser session storage helps prevent duplicate inquiry submissions and display an inquiry reference. A downloaded inquiry brief is saved on your device.

Submitting the website form saves your inquiry on the Xunding server and queues a notification to Xunding.

Cookies and information processing on Facebook, Instagram and WhatsApp are governed by those services’ own policies. If we add advertising, analytics or live-chat tools, we will update this policy and obtain consent where required before using them.

Google Analytics 4 is optional and loads only after you choose “Allow analytics”. It uses analytics cookies and technical information to measure visited pages, traffic sources, approximate country, device information and successfully saved inquiries. Our inquiry event does not include your name, email, telephone or message. We remove query strings and fragments from the page URLs supplied to Analytics. Google processes analytics information under its Privacy Policy. Use “Analytics preferences” below the footer to change your choice or withdraw permission. Choosing “Necessary only” keeps analytics disabled and does not affect inquiries or website navigation.

The website’s AI assistant sends your messages and recent conversation history to DeepSeek through our server after you agree in the chat window. This helps answer equipment questions using our product information. Chat history is kept in this browser tab’s session storage; our chat service does not save conversation transcripts to the inquiry database. DeepSeek handles messages under its own Privacy Policy. Avoid sending confidential or sensitive information. You may use the inquiry form or email instead.

If you choose “Leave an inquiry” in the chat window, the conversation can be copied into your inquiry draft. It is only saved on our server and queued for email notification when you submit the inquiry form successfully. AI guidance is preliminary; quotations, delivery dates and custom requirements need confirmation by Xunding’s sales team.

11. Business inquiries and children

Our equipment and inquiry channels are intended for business users and are not directed at children. If you believe a child has provided personal information, contact us so we can review and remove it where appropriate.

12. Changes and contact
